Every passionate traveller has the same problem eventually. You come home from a long trip, copy everything off your camera cards and phone, and end up with a folder containing 2,400 photos sorted by nothing except the order in which the camera named them — DSC00472.JPG through to DSC02871.JPG.
Months pass. You start a blog post about the trip and realise you cannot reliably remember which city that spectacular market was in, or whether the ruins you photographed at dusk were on day three or day eight. If you shared photos to WhatsApp or Instagram along the way, the originals still exist somewhere — but the order is a mess.
This is exactly the problem GPS metadata solves — if you know how to use it.
When you take a photo on a modern smartphone or a camera with GPS capability, the device embeds the precise latitude and longitude into the photo file itself as hidden EXIF data. This information travels with the file — it's not in a separate database, not in a cloud account, not in an app. It's in the JPG or HEIC file itself.
That means if you copy the files to a hard drive, send them to a friend, or upload them to a website, the GPS coordinates come along for the ride (unless the platform explicitly strips them, which some do — more on that in our privacy guide).
GPS coordinates in photos are stored as degrees, minutes, and seconds — the same coordinate system used on maps. A photo taken at the Eiffel Tower would store approximately 48°51'30"N, 2°17'40"E. Tools like MyPhotoTrace convert these automatically into a readable place name.

Standard DSLR or mirrorless cameras without GPS connectivity — which is the majority of professional cameras — do not embed GPS data. They do embed precise timestamps, which are still useful.

For photos from GPS-free cameras, the timestamp is your primary organisational tool. Since DSLR timestamps are accurate to the second (assuming you set the camera clock correctly), you can match them to:
Many photographers carry both a DSLR and a smartphone. If you take a smartphone photo at the same location as a DSLR shot, the phone photo's GPS coordinates can be manually applied to the DSLR batch in post-processing software like Lightroom or Capture One. The timestamp match makes this straightforward.

This format sorts chronologically by default, includes the location in the filename, and is portable across every operating system and photo management tool.
Once organised, back up your archive in at least two separate locations — ideally one local (an external hard drive) and one cloud-based (iCloud Photos, Google Photos, or a dedicated backup service). The metadata you've worked to preserve is fragile; a hard drive failure without a backup means losing the organisational work alongside the photos.
When uploading to cloud services, check whether they preserve EXIF GPS data in the stored files, as the answer varies by platform and account settings.
